A supply chain can’t move quickly when its reporting process is stuck in the past.

One principle I often use is the 5-Minute Efficiency Rule:

👉 If a recurring report takes more than five minutes to prepare or refresh, there’s probably an opportunity to automate it.

The real problem isn’t Excel or CSV files. It’s the repetitive workflow around them — manually cleaning raw data, copying information between files, rebuilding reports, and producing static snapshots that are outdated almost as soon as they’re created.

Moving from Excel to Power BI isn’t simply about creating better-looking dashboards.



It requires a shift in how we think about data.



Here are a few principles that make a huge difference:



🔹 Protect the raw data
Keep source files as untouched as possible. Excessive manual cleaning in Excel may solve today’s problem—but make tomorrow’s automation harder.



🔹 Know whether you need a snapshot or a story
A report showing where we are today is different from one showing how we got here. Good analytics requires both point-in-time and historical thinking.



🔹 Apply the 5-minute test
If refreshing a recurring report takes more than five minutes of manual work, there’s probably an opportunity to automate with Power Query, an app embedded in Power BI.



🔹 Build the pipeline, not just the dashboard
The real Power BI journey is:



Connect → Transform → Model → Analyse → Visualise → Share



The dashboard is only the visible end of a much more important data process.

“I cannot go expressway. I will take a bus, turn around the whole city, then I can get the result.”

A trainee said this during a recent one-to-one Excel session.

She was describing her daily workflow: manual counting, repeated data entry and lots of “tap-tap-tap” just to get a simple answer.

It perfectly describes how many people use Excel.

They know how to get the result.

But they’re taking the longest route to get there.

During the session, we worked on moving from the “bus route” to the “expressway.”

Here are 3 lessons that stood out:

1️⃣ Sometimes the problem isn't your formula. It's your data.
A date may look correct but actually be stored as text. Before fixing formulas, check what Excel is really reading.

2️⃣ Stop counting what Excel can count for you.
Instead of volunteers manually tabulating attendance and reward points, PivotTables can summarise the data in seconds.

That means less repetitive work — and fewer opportunities for errors.

3️⃣ Don't build for 10 rows. Build for 10,000.
Whether it's absolute references, PivotTables or automated processes, the goal is to create something that continues working as your data grows.

The biggest transformation wasn't learning another Excel function.

It was changing the question from:

to

✅ “How can I get Excel to do this for me?”

It is no longer just a spreadsheet tool for preparing reports.

Today, Excel can be used as a complete business data workflow:

✅ Store structured business data

✅ Clean and transform messy data without touching the source files

✅ Automate repeated reporting steps

Yet in many organisations, employees are still using Excel the old way.

Not because the visuals are weak.

Not because the software is too difficult.

But because managers treat dashboarding as a reporting task instead of a workflow.

A strong dashboard is built in layers:

1. Understand the interface and data model

Report View shows the story.

Table View shows the row-level details.

Model View shows the relationships.

For leaders, the Model View is often the most overlooked. Yet this is where real dashboard scalability begins. When tables are properly related, teams can analyse millions of rows without manually stitching files together every month.

2. Build measures, not just charts

The real power of Power BI is not in dragging visuals onto a canvas.

It is in defining business logic clearly.

For example:

Total Sales = SUM(Sales[Revenue])

A simple measure like this ensures that revenue is calculated consistently across dashboards, teams, departments, and time periods.

3. Apply filters strategically

Filters can operate at three levels:

It starts much earlier — with the workflow behind the insights.

Many managers and executives see Power BI as a reporting tool.

But in reality, the quality of your Power BI report depends on what happens before the visuals are built:

✅ How raw data is cleaned

✅ How different tables are combined

✅ How missing values are handled

✅ How data relationships are structured

✅ How unique keys are created

✅ How visuals are sorted and connected

This is where many reports fail.

Not because the dashboard looks bad.
